We strongly recommend that you sign up for, and attend the Parents Evening as this will give you the best insight into what's involved and the development opportunities that expeditions provide. There will also be a live Q&A session.

Our online 'Basecamp Portal' serves as the central hub for all essential information regarding your Expedition/Explore programme.
We'll keep you informed via email as your itinerary and preparations develop. Inside the portal, you'll discover a wealth of details such as the programme overview, event timelines, pre-departure tasks, FAQs, payment plans, and additional helpful resources.
As the programme progresses, you will be able to access the itinerary, kit list and flight schedules once they have been confirmed. The portal offers a comprehensive view of your adventure in one convenient place.
If you couldn't attend the parents' evening, you can access all the necessary information on Outlook's custom 'launch page', specifically tailored for each school launching an Expedition/Explore programme.
If you missed the webinar, you can still view the recording on the launch page. Simply register to access it.

To register, simply click on the red 'sign up' tab at the top of this page.
Alternatively, visit the Basecamp Portal, add your Expedition Reference Number (ERN) in the 'New Expedition' section on the left-hand side, and proceed with the application form*.
* It is important to use different email addresses for the participant and guardian, enabling each of you to have your own accounts.
This typically indicates that you have attempted to register before but didn't complete the process, or you have an existing account with us from a past programme. To continue with the registration, please start the application process again from the beginning. After you complete the first page with the same details as your initial registration attempt, click to proceed, the page will then refresh, displaying the following alert:
‘The email X has already been used. You can either click on cancel and use a different email or enter the password associated with this email address.’
If you recall the password you initially entered, kindly input it in the 'Existing Password' box. Then, enter your desired password in the next two empty boxes. Once you click the button to proceed, you should be able to move forward this time.
If you cannot remember your password, please contact us and we will reset it for you.
To access the Basecamp portal, use the email address and password you provided during registration (one for the Participant and one for the Guardian). If you've forgotten your password, please email or contact our Customer Support Team at 01248 672 770*, and they will reset it.
*Please note that our phone lines are operational from Monday to Friday (excluding bank holidays) between 10 AM and 4 PM.
Please log out of the portal and sign in once more. Click on 'new expedition' to register your second child, using the same steps as before. Just be sure to use a new email address for your second child.
This will allow you to complete tasks for both of your children from the same portal account. Please ensure that you are signed in as the guardian and not the participant before registering your second child.

The payment plan for your programme is pre-determined by your school. Should the school select the individual payment option, parents will be responsible for making payments directly to Outlook. Alternatively, if the school opts for the school payment option, all payments will be processed through the school.
For the individual payment option, we provide two different payment methods for your Expedition/Explore programme:
- Monthly payments*: You can make monthly payments directly via the Basecamp Portal, through BACs transfer, or by setting up a standing order.
- Fixed payments: Three set payments spread across the expedition preparation period, which can be made online or via BACs transfer.

Programmes with individual payment options will find their schedules under the 'Payment' tab in the Basecamp Portal.
We will also upload copies of the payment plans to the Portal so you can track the schedules if you are on the school payment option.
*Please note that at present, the monthly payment option cannot be selected through the Basecamp Portal. Kindly reach out to our Customer Support Team, and they will make the necessary adjustments to the payment schedule for you.
Please note that Explore Programmes will not include a practical leadership weekend. All in-person events for international schools will be held in the country where the school is located.

- Vaccinations and visas
- Personal belongings insurance and costs incurred by loss of passport
- Pre-departure cancellation insurance
- Personal equipment
- Spending money and souvenirs
- Transport (to/from Practical Leadership Weekend, Final Preparation Day and airport collection)
- Food and accommodation during these events (unless otherwise stated)
Your insurance with Outlook includes cover for medical emergencies while you're in-country. This encompasses any emergency treatment and repatriation if it's deemed medically necessary. It's crucial that we are informed about ANY condition that might impact your health, well-being, or safety while you are overseas. Therefore, please complete the Medical Declaration* form on your Basecamp portal. Our Planning Team will use this information to conduct risk assessments for your itinerary.

* You will receive a reminder to complete this around one month after the Expedition goes live.
Personal possessions, including passports and visas, are not covered by this policy. If your passport is lost or stolen while you are overseas, replacing it can be both time-consuming and costly. Our policy does not cover associated expenses such as document replacement and booking new flights.
Pre-departure cancellation is not covered by our insurance. We strongly recommend that you consider taking out a cancellation policy independently. It is essential to thoroughly review the policy documents and ensure they suit your needs before entering into any agreements. Any decisions regarding a claim against the policy will be determined by the claim handler, not Outlook Expeditions. All cancellations, regardless of the reason, are subject to our terms and conditions.
An integral part of the participant experience is the ability to self-fund either a portion or the entire programme cost. While there may be challenges, striving towards this financial goal offers valuable learning experiences.

Our Expedition and Explore itineraries are designed to be as inclusive as possible and can be adapted to suit a variety of needs. Our extensive insurance means that most existing medical conditions are covered if pre-disclosed. However, we recommend that you call our Customer Support Team before registering so that we can carry out an initial screening to assess your suitability for travel.
